👥 WhatsApp Group Management

🎯 What is Group Management?​

STEVO offers complete features to manage WhatsApp groups. You have two ways to manage your groups:

  1. Through STEVO V2 Panel — Complete and intuitive visual interface
  2. Through Commands — Automated functions to use in workflows

Both methods work perfectly and can be used together!

📱 Management through STEVO V2 Panel

The Group Manager is an exclusive STEVO V2 feature that allows you to manage all your WhatsApp groups directly from the panel, without needing to go to GHL.

📍 Where to Access?​

  1. Access the STEVO panel
  2. Click on the Groups tab in the side menu
  3. Click Search Groups to load your groups

⚠️ Important: The more groups you have, the longer it takes to load. This is normal!

🔍 Searching Your Groups​

When clicking Search Groups:

  1. The system loads all groups from your account
  2. Images (avatars) load afterwards
  3. Use the search bar to find a specific group
  4. The total number of groups appears at the top of the list

👁️ View Group Details​

Click View Details on any group to access:

Editable Information:

  • Group Name — Click to change
  • Description — Click to change
  • Group Link — Copy to share
  • Image — Click to change (insert the new image URL)

Technical Information:

  • GID — Unique group number (used for integrations)
  • Total Participants — Number of members

👤 Managing Participants​

Within the group details, you can manage participants:

Add Participant​

  1. Enter the participant's number (with country code)
  2. Click Add

Remove Participant​

  1. Find the participant in the list
  2. Click Remove

Promote to Admin​

  1. Find the participant in the list
  2. Click Promote to Admin

Demote Admin​

  1. Find the admin in the list
  2. Click Demote

⚠️ Note: You can only demote admins, not the group owner.

💬 Sending Messages​

To send an instant message to the group:

  1. Click Send Message
  2. Type your message
  3. Click Send

⏰ Scheduling Messages​

To schedule a message for a specific date/time:

  1. Click Schedule Message
  2. Select the date and time in the calendar
  3. Type your message
  4. (Optional) Check Mention Everyone to notify all participants
  5. Click Schedule

💡 Mention Everyone​

When checking this option, the message will be sent mentioning all participants invisibly. Everyone will receive the notification even without the mentions appearing in the message.

🔄 Recurring Messages​

To automate message sending:

  1. Click Schedule Recurring Message
  2. Choose the frequency:
    • Daily — Every day
    • Weekly — Choose days of the week
    • Monthly — Once a month
  3. Set the time of sending
  4. (Optional) Check Mention Everyone
  5. Configure Advanced Options:
    • End Date — When to stop sending
    • Send Limit — Maximum number of messages
  6. Click Schedule

Usage Example​

Send a reminder every Monday, Wednesday and Friday at 9am:

  • Frequency: Weekly
  • Days: Monday, Wednesday, Friday
  • Time: 09:00
  • Mention Everyone: Yes

🖼️ Changing Group Image​

To change the group photo:

  1. Click View Details of the group
  2. Click the Change Image icon
  3. Paste the image URL (must be a public link)
  4. Click the green button to confirm

➕ Creating a New Group from Panel​

To create a group directly from the panel:

  1. Click Create New Group
  2. Fill in:
    • Group Name
    • Description
    • Photo URL (optional)
    • Participants (numbers with country code)
  3. Click Create

⚠️ Important: All fields are required, except the photo.

🗑️ Canceling Scheduled Messages​

To cancel messages you scheduled:

  1. Access the Scheduled Messages tab
  2. Find the message you want to cancel
  3. Click Cancel

The same process applies to Recurring Messages.

🔗 GHL Integration​

All messages sent through the Group Manager also appear in GoHighLevel automatically. You can:

  • Manage groups only through STEVO
  • Manage groups only through GHL
  • Use both simultaneously

Synchronization is automatic!

⚡ Management through Commands

Besides the visual panel, you can manage groups through automated commands. This is useful for creating automations in GHL or n8n workflows.

💡 Tip: You can use the string {{contact.phone_raw}} within the chat to call this function on your contact's phone number, enabling automations with it.

🔧 Automations with Commands​

You can use these commands in GHL or n8n automations to:

  • ✅ Create groups automatically when a lead qualifies
  • ✅ Add clients to specific groups based on criteria
  • ✅ Promote members to administrators based on actions
  • ✅ Send group links automatically to new clients
  • ✅ Configure permissions based on group type

Example: Welcome Automation​

When a new client closes a purchase:
